Agensi Pekerjaan Quanta8 Sdn Bhd (“JobToFive”, “we”, “us”, or “our”) is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your personal data when you use our online recruitment platform, including any websites, applications, and related services (collectively, the “Services”).

JobToFive is a licensed recruitment agency under the Ministry of Human Resources Malaysia. We handle personal data in accordance with the Malaysian Personal Data Protection Act 2010 (“PDPA”) and any other applicable data protection laws.

1. Who is responsible for your personal data?

2. What personal data do we collect?

We collect the following categories of personal data, depending on how you interact with JobToFive:

  • General data: name, email, password, account preferences, and profile photo.
  • Contact data: phone number, business or residential address, and billing information.
  • Background data: for candidates, work history, education, qualifications, certificates, resume content, and salary expectations.
  • Business data: for employers, company name, SSM registration number, business documents, sector, company size, and operation date.
  • Usage and device data: log data, IP address, device type, browser, referring pages, and cookies that help us operate the platform.
  • Third-party data: information received from authentication providers (such as Google), referrers, or public sources.
  • Location data: inferred or declared location to support relevant job matching.

3. How do we use your personal data?

JobToFive uses your personal data to:

  • Create and manage your account;
  • Power job search, application, and smart-match features;
  • Verify employer registrations and maintain marketplace trust;
  • Process payments, subscriptions, and credit top-ups through our payment processor;
  • Send service notifications, interview invitations, and (where permitted) marketing communications;
  • Detect and prevent fraud, abuse, or security incidents;
  • Comply with our legal and regulatory obligations in Malaysia.

4. Legal basis for processing

We rely on the following legal bases to process your personal data: your consent, the performance of a contract with you, our legitimate interests in operating and improving the platform, and our legal obligations under applicable law. You may withdraw your consent at any time, though doing so may affect your use of certain features.

5. How do we share your personal data?

JobToFive may disclose your personal data to:

  • Employers when you apply for a job or make your profile discoverable;
  • Service providers, including hosting (Supabase), email (Resend), payments (Stripe), analytics, and support tools, acting under written data-processing terms;
  • Regulators and law enforcement when required to comply with Malaysian law or lawful requests; and
  • Successors in the event of a merger, acquisition, or sale of the JobToFive business.

We do not sell your personal data to third parties.

6. International transfers

Some of our service providers operate outside Malaysia. When we transfer personal data internationally, we take reasonable steps to ensure that it remains protected to a standard consistent with this Privacy Policy and the PDPA.

7. Cookies and tracking

JobToFive uses cookies and similar technologies to keep you signed in, remember preferences, measure traffic, and improve the platform. You can control cookies through your browser settings; however, disabling essential cookies may affect how the platform works for you.

8. Data retention

We retain your personal data for as long as necessary to provide the Services, comply with legal and regulatory obligations, resolve disputes, and enforce our agreements. When your data is no longer required, we will delete or anonymise it using reasonable measures.

Subject to applicable law, you have the right to:

  • Access the personal data we hold about you;
  • Request that inaccurate personal data be corrected;
  • Request deletion of your personal data;
  • Object to or restrict certain processing activities, including direct marketing;
  • Withdraw your consent where processing is consent-based;

10. Security

JobToFive takes reasonable technical and organisational measures to protect your personal data from misuse, interference, loss, and unauthorised access, modification, or disclosure. This includes encryption in transit, access controls, and regular review of our systems. No online service can be perfectly secure, so we encourage you to use a strong password and protect your account credentials.

11. Children's privacy

JobToFive is not directed at children under 16, and we do not knowingly collect personal data from them. If you believe a child has provided us with personal data, please contact us and we will take appropriate steps to remove it.

12. Updates to this policy

We may update this Privacy Policy from time to time. Where changes are material, we will notify you through the platform or by email. Your continued use of JobToFive after an update takes effect means that you accept the revised policy.
